This individual will be a member of the Proposal Team and will be responsible for helping to manage and develop complex, strategic business development materials, including but not limited to: responses to requests for proposals (RFPs), Preferred Provider Submissions, direct client pitches, other specialized business development projects, and fee proposals.

JOB SUMMARY:

Ropes & Gray is seeking a Marketing Coordinator focused on proposals. This individual will be a member of the Proposal Team and will be responsible for helping to manage and develop complex, strategic business development materials, including but not limited to: responses to requests for proposals (RFPs), Preferred Provider Submissions, direct client pitches, other specialized business development projects, and fee proposals.  In addition, the Marketing Coordinator will coordinate and track firm-wide and practice-specific marketing materials.  Ideal candidates will have excellent communication skills, strong project management and organization skills, and experience writing in a professional services environment.  This position requires a professional, highly motivated, organized individual capable of functioning in a fast-paced legal environment.  An interest in legal services is preferred.

RESPONSIBILITIES:

•Support practice group marketing and business development efforts by preparing and coordinating proposals and pitches, and other customized materials, working with the Practice Development, Business Development and Creative teams as needed.  Also, coordinate all related proposal production activities, including printing, distribution and delivery of the materials.

•Support firm-wide development and delivery of RFP responses which includes managing the intake of incoming firm-wide RFPs/RFIs/RFQs and customized proposals, analyze all proposal documentation and initiate response protocol.  Also responsible for the overall coordination of the response into a cohesive proposal; communicating the proposal requirements to key team members; and the development of timelines and action plans for the efficient and timely delivery of submissions.

•Work closely with members of Practice Development to update and maintain approved practice descriptions, experience information, tailored content and other standard response language used in proposals and RFPs.

•Work with the Senior Proposal Manager to monitor and maintain the Proposal Team’s existing resources and knowledge management systems, including the proposal intake log, proposal database, and proposal generator system to streamline proposal efficiencies and ensure content is updated.

•Work with the Senior Proposal Manager to track and report business development efforts and report "wins/losses."

•Act as a “subject matter expert” for the firm’s proposal processes and tools while promoting best practices throughout all stages by providing varying levels of formal and ad-hoc assistance to internal clients requesting proposal and pitches support, materials, etc.

EDUCATION, EXPERIENCE AND SKILLS REQUIRED
•Bachelor’s Degree with 3-5 years marketing experience
•Excellent organization, project management, and communication skills required
•Knowledge of the principles and practices associated with the development of advanced marketing materials and knowledge of law firm practices
•Knowledge of business English, spelling, punctuation and grammar
•Proficiency in Microsoft Office Suite

WORKING CONDITIONS:

Normal office environment. The candidate is expected to work the hours necessary to fulfill the responsibilities of the position.
