We all know how challenging the art of project management can be. No matter how much we plan and prepare, we often end up feeling as if we are racing against the clock to meet deadlines. It may seem impossible to please everyone and juggle multiple demands. When things do not go according to plan, all parties become frustrated, and this only seems to further hamper the project lifecycle.
I have found that, while things may not always go the way we want them to, there are certain steps we can take to hone our project management skills and yield the best possible result:
- Plan early and build in extra time. Take time to craft a well-organized production schedule with key deadlines and assignments. Schedule an initial kick-off call with the group to set priorities early. If possible, build in buffer time to allow for unforeseen delays and obstacles that may arise. If you do not wind up using this extra time, you may even be able to complete the project ahead of schedule.
- Anticipate challenges. We are not psychics and cannot possibly anticipate everything that could go wrong – but it certainly helps to be proactive. Spend time researching, talking to other leaders and making a list of obvious problems that could occur and how you would plan to counteract them.
- Schedule regular progress meetings. In order to stay on track, it is helpful to have frequent “check-ins” to discuss status and make sure that collective priorities remain aligned. This also gives you the opportunity to adjust dates or action items as necessary.
- Communicate openly. It is important to keep everyone in the loop – even if it involves the sharing of bad news. It is far better to communicate problems ahead of time than to mislead your team. Addressing obstacles along the way with the help of others will allow you to nip problems in the bud so that you can move forward.
- Solicit feedback from others. There is no one right approach to effective project management. Everyone has a unique perspective to bring to the table – and as a project manager, it is your job to keep an open mind and an adaptable attitude. Be receptive to feedback and suggestions, and be willing to incorporate ideas from your core team. This will only make you a better-rounded project manager, and will make your team feel more invested in the task.
- Believe in the power of positivity. Positivity is contagious. Project a confident, upbeat attitude and congratulate the team when you reach key milestones. A simple pat on the back can go a long way in boosting morale and enthusiasm.
In a way, life is project management, and project management is life. In the many roles we hold, we are all striving to realize our goals and foster a sense of satisfaction. Armed with solid project management skills and an adaptable attitude, it is amazing the degree of success we can achieve!
