Fox Rothschild LLP is seeking a Senior Events Coordinator to support the execution of firm-hosted events and firm-sponsored industry and trade conferences as well as an array of other educational programming for clients.
Job Duties and Responsibilities:
- Work with firm practice groups, partners, administrative members and marketing team members to support and implement marketing goals, event initiatives and strategies to support business development.
- Support brand management and profile-raising through events and sponsorships.
- Serve as primary point of contact for client-facing firm sponsorships.
- Provide on-site event support as assigned for events occurring throughout the firm’s national network of offices as well as for firm-sponsored conferences throughout the United States.
- Work with the firm's communications and graphics team to create event invitations as needed.
- Responsible for pre-event coordination, including selection of venue and menu; contract negotiation; ordering of refreshments; hiring of caterers and/or other appropriate vendors; prepares budget in collaboration with key administrative or marketing team members; support key stakeholders; team with various marketing department members to strategically support event; and coordinate with the marketing technology and business development team on invitee list management, invitation dissemination, registration and timely reports.
- Responsible for event execution, including working closely with venue staff, a/v and room set-up, managing speakers and guests and coordinating timing.
- Responsible for post-event activities, including compiling program feedback and sharing post-event recap with relevant parties, as well as processing invoices and handling budget and other fiscal reconciliation.
Requirements:
- Bachelor's degree required.
- Three to four years of experience in a professional services environment.
- Event/marketing-related experience preferred.
- 30% to 40% travel required.
- Strong organizational and presentation skills with a heightened attention to detail.
- Proficient use of MS Office suite of products, including Word, Excel and PowerPoint. Experience with InterAction system a plus.
- Ability to work in a fast-paced, high-pressure environment while providing outstanding service to internal and external clients/contacts. Position requires consistent demonstration of poise, tact and diplomacy.
- Ability to work well with attorneys, staff and firm administration on an ongoing basis while providing the highest level of customer service.
- Ability to work independently with minimal supervision on certain projects as well as collaboratively within a team environment.
- Ability to meet deadlines and handle multiple assignments simultaneously and under strict time constraints.
- Excellent writing and presentation skills.
